The Challenge Ahead: 

The Accounts Payable shared services department has overall responsibility for handling all U.S. based AP activities, including but not limited to: Invoice and expense report processing, management of corporate card programs, close of AP ledger and expense recognition and accrual, compliance with related policies & procedures, vendor database management, and reporting.  EA has a captive shared services center in Hyderabad, India.

 What the Supervisor, Accounts Payable does at EA:

The supervisor is expected to be primary contact person and work collaboratively with the business partners and AP shared services team located in India, for AP and certain purchasing activities in accordance with stated policies, procedures, departmental goals and standard practices as defined by management with support from Director, Shared Services.  This position requires full participation in department initiatives, supporting department members and business partners as appropriate while consistently demonstrating EA ACTION values.

  • Manages day to day operations of AP & support Purchasing
  • Responsible for accurate, timely and complete processing of all AP transactions and coding to General Ledger
  • Supervise onsite team and work collaboratively with off-shore shared services team
  • Support training and development of staff and help in setting operational goals
  • Help develop, implement and enforce policies and procedures
  • Maintain effective relationships with business partners/ vendors through timely and accurate payment and response to inquiries.
  • Responsible for supporting accurate and timely completion of AP and Purchasing month-end closing process.
  • Prepare, review and analyze select journal entries and accruals.
  • Coordinate with Purchasing and Receiving departments to ensure efficient and accurate purchase order processing, matching, and timely resolution of discrepancies.
  • Oversee the Corporate Card program including Expense Travel / Entertainment program and Purchasing card program.
  • Approve and verify monthly JE’s for American Express Cards.
  • Identify process improvements and new approaches to processes.
  • Supervise maintenance and filing of AP records in accordance with company guidelines.
  • Identify and escalate priority issues timely to management.
  • Work with off shore purchasing team to ensure proper documentation is provided prior to issuance of purchase order.
  • Assist with audit schedules needed for quarterly reviews / annual audits from outside accountants.
  • Assist with Sarbanes-Oxley and other compliance requirements.
  • Supervise preparation of annual 1099, annual 1042 form, escheatment, and other AP compliance reporting requirements.
  • Responsible for ad-hoc reporting, and training
  • Assist with special projects and other duties as assigned.

The next great EA Accounts Payable Supervisor also needs:

  • Bachelor’s degree in Business or Finance
  • Minimum 4 years of experience in Accounting/Finance
  • Experience in managing staff is preferred
  • Proven ability to multi-task and prioritize tasks.
  • Working knowledge of accounts payable and purchasing processes and ability to work dynamically with a variety of internal business partners
  • Ability to work effectively in a fast-paced, deadline-driven environment
  • Effective verbal and written communication, interpersonal, conflict resolution, presentation and customer service skills
  • Effective time management, work prioritization and delegation skills
  • Excellent analytical and business support skills
  • Working knowledge of the Sarbanes-Oxley Act of 2002 is strongly preferred
  • Working knowledge of Oracle R12 is required. Experience with an employee expense tool is preferred.
  • Experience with Discoverer preferred
