Position Title: Production Coordinator II

Production Coordinator (1 yr contract)

Who you are:

We are looking for a highly organized and detail-oriented Production Coordinator to support our fast-paced and production-oriented team.

What you will be doing:

  • Develop and maintain strong working relationships with internal and external partners and vendors.
  • Provide administrative support that aligns with department and team objectives as required.
  • Management of Salesforce contracts and invoice reconciliation. This includes setting up new vendors and managing existing vendors in finance systems, generating all necessary purchase orders, reviewing and submitting invoices between vendors and Finance.
  • Track department expenditures and assist in monitoring budget as necessary.
  • Monthly reconciliation of corporate cards and submit account set-up requests for team members and provide initial training and assistance on the expense reporting tool.
  • Advocate on company policies and procedures.
  • Asset Management & Purchasing (hardware, software, office supplies, swag and misc. peripherals).
  • Organize meetings, conferences, catering and special events logistics, both onsite & offsite.
  • Assist in the on-boarding of new hires including ensuring all equipment, network access, and cube/office is set up prior to start date and initial first day pick-up.
  • Coordinate travel with corporate partner for team members (flights, accommodation, car rentals; drafting travel letters and assisting with visa applications when required). Also coordinate space and meetings for external visitors to the studio.
  • Responsible for proactively maintaining all department common areas and participating in creative sessions to appropriately brand these areas.
  • Facilitate space planning and coordinating moves.
  • Assist team members to submit or escalate Help Desk tickets when appropriate.
  • Own and maintain team email distribution lists.
  • Attend necessary meetings and record minutes.

What you bring to the role:

  • 3-5 years administrative experience.
  • Proven proficiency in MS Office.
  • Demonstrated ability to create, manipulate and extract data from advanced Excel spreadsheets.
  • Aptitude for creating Word documents including complex formatting, forms, etc.
  • Strong written and verbal communications skills.
  • Ability to prioritize work flow.
  • Strong planning, organizing, and scheduling abilities.
  • Ability to follow through, work successfully with a minimum of supervision, and pay attention to details.
  • Must be a self-motivator with a strong work ethic.
  • Able to demonstrate success in a fast-paced dynamic environment, performing well under pressure.
  • Demonstrate critical thinking, problem-solving skills and excellent customer service skills.
  • Ability to initiate and complete complex work assignments and projects with minimal supervision.
