ROLE OVERVIEW:

Located at our global headquarters, this Executive Assistant reports into the Senior Vice President, EA Studios and Corporate Finance, and will also support the Vice President of Finance, Real Estate and Physical Security and their locally based teams.  The role represents an opportunity to partner closely with executives in finance and gain a broad-based understanding of the operations within the Studio, Corporate, Marketing and Sales teams.

Our Executives in Finance require an excellent partner, with strong communication skills and demonstrated experience operating within a global team. This role will operate and connect with teams both locally and remote, requires demonstrated experience in managing and seamlessly supporting teams in a fast-paced environment, whilst pro-actively tackling tasks & issues before they arise. 

What an Executive Assistant does at EA:

  • Independently provide high quality support whilst acting as an extension of the executives.
  • Anticipating and pro-actively organizing and managing deliverables on their behalf, whilst monitoring and adjusting where required to enable successful outcomes
  • Seamlessly prioritizes people and situations in need of focus and attention
  • Assumes full ownership and maintenance of calendars; scheduling, confirming, negotiating for meeting space and relevant attendees
  • Always projects a professional and supportive environment to all parties they interact and engage with (emails, calls, internal clients and guests)
  • Closely coordinates and partners with other Executive assistants to facilitate communication, execution of events and projects, adoption of best practices, whilst acting as back-up for other Executive assistants
  • Co-ordinates and organizes internal team events, presentations and on-site meetings
  • Manages, plans and coordinates special projects across departments and teams, including large-scale meetings, offsites and event planning for conferences / exhibitions
  • Coordinate domestic and international travel including international visas
  • Track relevant T&E claims for accurate and timely reconciliations and expense reimbursement.
  • Review contracts and invoices for accuracy and approvals, ensure successful remittance with AP
  • Proficiency in preparing and publishing documents in Microsoft Office, Google, SharePoint is a must
  • Request, confirm, and enable the set-up of all meeting room technology and equipment
  • Monitor internal communication channels (Slack / Slido), identifying questions and topics to address
  • Create and maintain internal email distribution lists
  • Other duties as assigned

The next great EA Executive Assistant also needs:

  • A successful track record supporting multiple VPs or above for 3-5 years
  • Self-motivated, highly organized and results-oriented individual who works with little or no supervision, and demonstrates initiative, flexibility, teamwork, maturity under pressure, and anticipates and resolves problems before they escalate
  • Strong ability to anticipate needs, understand priorities, and be proactive about resolving potential conflicts and/or including the appropriate stakeholders to resolve potential conflicts.
  • Ability to maintain a high level of confidentiality with sensitive information
  • Strong time management skills, and the ability to operate and balance workload independently.
  • Advanced software skills in MS Outlook, Word, Excel, PowerPoint, Org + and the Internet
  • Solution-oriented approach
  • Highly proficient in organizing worldwide travel
  • Maintains highest level of personal integrity and exhibits professional maturity
  • Detail-oriented and ability to complete work assignments with a high degree of quality and timeliness
  • Ability to manage multiple tasks and assist multiple team members at the same time
  • Ability to work in a fast-paced, change-oriented, problem-solving environment; able to manage in a changing and ambiguous environment
  • Excellent interpersonal skills; exceptional verbal and written communication skills
  • Takes initiative and goes beyond established framework; looks for new ideas and creative solutions to overcome challenges
  • Balances a strong work ethic and going-the-extra-mile enthusiasm with levity and humility; has contagious energy and dedication while managing to enjoy the process and understand where he/she fits in the overall group or structure
